Specific Job Responsibilities: It is the duty of all employees to understand and perform their job tasks to the highest level at all times. * Answer all calls within 3 rings. Direct all incoming telephone calls in an efficient and professional manner. * Maintain provider’s on-call schedule, as well as the schedules for facility providers, supervisors, and facility managers. * Maintain telephone emergency and contact number list with immediate access. Maintain updated provider location list and keep facility specific telephone guidelines posted. Ensure coverage staff is aware of procedures and daily updates. * Open and close the switchboard according to procedure, verifying calls forwarded appropriately. Communicate delays in opening or closing the switchboard to the supervisor. * Receive, sort, and distribute all incoming materials. * Keep on-hold time to a minimum. Check back with patient in short increments of time thanking patients for holding and informing them of call status. * Maintain PBX Resource Manual. * Operate the facsimile (fax) and copy machines. * Assist with filing dailies in medical record according to department procedure. * Perform any additional/miscellaneous duties (not inclusive of job description) as requested/assigned by the management team within the scope of knowledge/ability.
Qualifications/Skills: Qualified candidate must excel in interpersonal communication and customer service and be able to work both independently and as part of a team. They must excel in organization and attention to details and follow through. Additionally, they must have the ability to problem solve to logical conclusion and demonstrate initiative and responsibility. Must be able to effectively and clearly communicate (written and verbal.) Must have medical terminology.
Experience: Prior office experience, preferably in the medical field. Must have a minimum of 1 year of customer service in any field. Must have worked with computers. Must have prior PBX or telephone experience.
Education: High school graduate or equivalent. Administrative (Front Office) Medical Assisting Certificate preferred.
