General Summary: An exempt, executive management position responsible for planning, organizing, and implementing operational improvements for practice operations. This home office for this position is West Mifflin, PA, however, this position will oversee all 7 offices (West Mifflin, Monroeville, Uniontown, Wheeling, Greensburg, Butler, and Meadville).
Works with COO and direct reports to develop annual operating budgets and to manage clinic operations against that budget on a monthly basis.
Works with COO and Partners to recommend capital acquisitions for improved patient service, efficiency and profitability.
Works with management team to standardize clinic operations directly impacting revenue cycle management.
Partners with practice development to improve overall practice revenue.
Monitors patient satisfaction/feedback for all clinic locations to identify and act upon opportunities for improved service.
Supports policies and strategic initiatives endorsed by the Partners.
Actively supports medical provider and patient care staff initiatives to improve patient outcomes.
Works closely with clinic management staff and medical providers to identify opportunities for reducing operating expenses and enhancing practice revenue.
Oversees major technology initiatives that impact clinic efficiency.
Stays current with changing governmental regulations and ensures clinics' compliance.
Works closely with clinic management to foster a positive, patient-centered, team-based work environment.
Practice Operations Responsibilities:
Supervises operations of the clinic including budgetary planning, provider relations, and implementation of the practice's strategic plan.
Maintains a working knowledge of ophthalmology ICD-10, CPT coding, Medicare and other third party policies and procedures.
Maintains a strong focus on improving operational efficiency, organizational communication, and profitability of the organization.
Provides practice leadership to government programs such as Meaningful Use, PQRS, and the Merit-Based Payment System (MIPS) in order to ensure the practice is compliant with all regulations.
Develops office protocols that assist with optimized clinical flow and efficiency.
Develops and maintains quality assurance guidelines, so as to ensure compliance with Medicare and third-party payers.
Personnel Management Responsibilities:
Assures compliance with state and federal regulations such as OSHA, HIPAA, Affirmative Action, and other human resource issues.
Resolves escalated patient complaints and complex staffing challenges or issues.
Conducts periodic reviews of management personnel who report to the position.
Develops an appropriate management infrastructure in order to improve communication and efficiency.
Organizes regular meetings of the management team and office personnel.
Develops protocols for continuing education of staff.
A degree in health administration, business administration, and/or equivalent experience.
Obtained certification as a Certified Ophthalmic Assistant (COA) and Certified Ophthalmic Technician (COT).
A minimum of 5-years in senior level medical management position in an ophthalmology practice with multiple physicians and locations.
An equivalent combination of education, experience and training that would provide the knowledge, skills and abilities required for the successful performance of the essential job duties.
Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.
Extensive managerial experience including proven success in building and leading a high performing, multi-disciplinary team.
A working knowledge of computer hardware and software. Experience with a fully-integrated medical office software package, including electronic medical records, is necessary.
A working knowledge in all relevant aspects of health care legislation, including but not limited to the Affordable Care Act and the various elements of the Merit Based Payment System (MIPS).
Knowledge of clinic policies and procedures.
